Not every AI need requires custom software. Not every packaged AI tool fits your business either. The best path depends on how unique the workflow is and how much control you need.
When to buy
Buy when the workflow is common, the vendor already supports your industry, and the tool fits your process without forcing major change. Examples include basic meeting notes, general writing assistance, knowledge search, and common customer support workflows.
When to build
Build when the workflow is specific to how your company operates, crosses multiple systems, uses internal rules, or needs a careful approval process. Custom does not have to mean huge. It can be a focused workflow that does one high-value job very well.
When to connect
Often the answer is integration. Your team may already have the right CRM, HR system, ticketing platform, document storage, or finance tool. AI becomes useful when it sits between those tools and reduces the manual handoffs.
